Administrative Assistant

WAGE: $16-$20/hour D.O.E.

HOURS: Full-Time, Monday-Friday with Occasional Evenings and Weekends

PRIMARY LOCATION: Safe Passage Offices: 850 N. 4thSt., Coeur d’Alene, Idaho 83814

POSITION SUMMARY: The Administrative Assistant is responsible for providing general office management and administrative support to the Executive Director and other members of the leadership team in an efficient, effective, and professional manner.

ESSENTIAL JOB FUNCTIONS (not an exhaustive list):

  • Take notes and action minutes at key program meetings and file/disseminate as directed

  • Compile and disseminate program materials and documents

  • Assist in drafting, editing, and disseminating written communications as requested

  • Help monitor, track, and respond to emails as appropriate and necessary

  • Assist with mailings and communications, including donor communications and thank you letters

  • Prepare outgoing mail, including bulk mailings

  • Prepare and make deposits of incoming checks and donations

  • Organize, schedule, and prepare for meetings with key people and partners as requested

  • Support office infrastructure including telephone/internet service, office space, cell phones, copier contracts, office supplies, maintenance, deliveries, etc.

  • Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid

  • Monitor and maintain inventory, in-office and storage, and office supplies

  • Serve as point of contact for issues regarding phones, IT, facility issues, or other issues as assigned

  • Provide other administrative and office management support, as needed

  • Manage the opening of all incoming mail and filter/distribute/handle appropriately

  • Maintain the filing systems and archiving, ensuring accuracy and efficiency

  • Provide budget and purchasing support as required

  • Actively organize and manage client gift cards

  • Ensure all onboarding employment paperwork for new hires is completed and filed

  • Perform other job-related duties as assigned by the Executive Director


  • High school diploma and at least one (1) year of related experience or equivalent combination of education and experience.

  • Extensive knowledge of office management procedures.

  • Excellent verbal and written communication skills.

  • Excellent interpersonal and customer service skills.

  • Strong organizational skills, attention to detail, and accuracy.

  • Strong time management skills with a proven ability to meet multiple competing deadlines.

  • Excellent writing skills, including writing emails, creating forms and documents, and other correspondence.

  • Ability to develop trusting, professional working relationships with both internal and external stakeholders.

  • Proficient with computers and software programs, including MS Office, accounting, and database software.

  • Consistently identifies and implements ways to improve efficiency, accuracy, and effectiveness of administrative procedures.

PHYSICAL REQUIREMENTS: The physical demands described in this job description are representative of those that must be met by an employee (with or without reasonable accommodation) to successfully perform the essential functions of this job: This job requires prolonged periods of sitting at a desk and working on a computer, and occasional local driving/travel. Lifting of up to 15 lbs. is required on an occasional basis.

Today, we are one of the largest victim service agencies in the state of Idaho. Each year, Safe Passage provides confidential victim services and emergency shelter to 1,600 victims of domestic violence, sexual assault, and child victimization. We also prevent violence through healthy relationship education, reaching thousands of youth across North Idaho. Programs include 24-hour crisis line services, an emergency shelter, legal advocacy, counseling, sexual assault intervention services, prevention education, and bystander intervention training.
